1. Acceptance of Terms

MeetMind ("we," "us," or "our") is a company incorporated under the laws of the jurisdiction in which it operates, providing AI-powered meeting transcription, summarization, and action item extraction services accessible at https://meetmind.ai (the "Service").

By creating an account, subscribing to any plan, or otherwise using the Service, you confirm that you: (a) are at least 18 years of age; (b) have read, understood, and agree to be bound by these Terms; (c) agree to our Privacy Policy; and (d) are authorized to enter into this agreement on behalf of yourself or any organization you represent.

Important: If you do not agree to these Terms, you may not use the Service. Continued use after any update constitutes acceptance of the revised Terms.

2. Description of Service

MeetMind provides an AI-powered platform that processes audio recordings to generate text transcriptions, structured summaries, and action items. The Service is a digital Software-as-a-Service (SaaS) product delivered over the Internet.

AI Model Disclosure: The Service uses third-party AI model providers including Xiaomi MiMo (speech-to-text transcription), DeepSeek (language understanding and summarization), and Qwen VL (document and slide understanding). Service performance and availability may be affected by these providers' operational status.

Service Nature: This Service is a digital intangible product. Service access is enabled immediately upon payment confirmation. Due to the immediate delivery nature of digital services, refunds are subject to specific limitations as described in Section 7.

3. Account Registration

You must provide accurate, complete information when creating an account. You are responsible for maintaining the confidentiality of your login credentials and for all activities under your account. You must be at least 18 years old to use the Service.

If you discover unauthorized use of your account, contact us immediately at security@meetmind.ai. Do not share your login credentials with any third party. Ensure your billing email address remains valid.

If registering on behalf of a company or organization, you confirm you are authorized to enter into this agreement on behalf of that entity.

4. Subscription Plans

We offer subscription plans to access the Service. Current plan details and pricing are available at meetmind.ai/pricing.

Plans are billed as one-time credit packs or subscription packages. Subscription packages renew automatically at the end of each billing period unless canceled. We reserve the right to modify plan features or introduce new plans at any time.

5. Billing and Payment

Payment Authorization: When you provide a payment method and subscribe to a paid plan, you authorize MeetMind to charge your payment method for the applicable fees. For subscription plans, this authorization includes recurring charges at the end of each billing period unless canceled per Section 6.

Payment Processor: All payment card data is processed exclusively by our PCI-DSS compliant payment processor Waffo Pancake. We do not store complete card numbers on our servers.

Taxes: Unless otherwise stated, all prices exclude applicable taxes (including VAT, GST, sales tax, etc.). Where required by law, we will collect and remit the appropriate taxes.

Billing Disputes: If you believe a charge is in error, please contact us at billing@meetmind.ai before disputing with your bank or payment provider. We are committed to responding within 2 business days and resolving confirmed billing errors within 5 business days.

6. Cancellation

You may cancel your subscription at any time through one of the following methods:

  • Online (recommended): Account Settings → Subscription → Cancel Subscription
  • Email: Send a cancellation request from your registered email to cancel@meetmind.ai

Cancellation takes effect immediately. We will send a confirmation email within 10 minutes.

Effect of cancellation: Your subscription remains active until the end of the current billing period. No further charges will be made. Your account data will be retained for 90 days after cancellation, then deleted per our Privacy Policy.

7. Refund Policy

General Policy: Due to the immediate delivery nature of our digital Service, subscription fees are generally non-refundable, except in the following cases:

  • 7-Day Guarantee for New Subscribers: First-time subscribers may request a full refund within 7 days of their first charge, provided usage does not exceed 10% of the plan's transcription quota.
  • Duplicate Charges: Full refund for duplicate charges resulting from billing errors.
  • Verified Service Outage: For service outages exceeding 72 hours caused by us, a prorated refund or service credit will be provided.
  • Legal Rights: Statutory cancellation or refund rights (e.g., EU/UK 14-day cooling-off period) are preserved where applicable.

To request a refund, email refunds@meetmind.ai with your account email, transaction ID, and reason for the request. We will confirm receipt within 2 business days and process eligible refunds within 5–10 business days.

Non-refundable items: Charges for used subscription periods (except in cases above), annual subscription refunds requested after 30 days from initial purchase, and accounts terminated for violation of these Terms or our Acceptable Use Policy.

8. AI Content and Intellectual Property

Output Ownership: Subject to these Terms, AI-generated content ("Output") produced from your inputs belongs to you. You may use Output for any lawful purpose permitted under Section 9.

Input License: By submitting content ("Input") to the Service, you grant MeetMind a limited, non-exclusive license solely for the purpose of providing the Service to you. We will not use your Input to train AI models without your explicit consent.

Third-Party AI Models: Output may be influenced by our third-party AI model providers including Xiaomi MiMo, DeepSeek, and Qwen VL. We do not guarantee specific output quality and are not responsible for content generated by third-party models.

AI Output Accuracy: ⚠️ AI-generated content may contain inaccuracies, incomplete information, or be outdated. Do not use it for legal, medical, financial, or other professional advice. Always verify with a qualified professional before acting on AI-generated content.

9. Acceptable Use Policy

Permitted Use: You may only use the Service for lawful purposes consistent with these Terms, including personal productivity, business automation, and research and development activities.

Prohibited Uses: You agree not to use the Service to:

  • Generate illegal, defamatory, harassing, or fraudulent content
  • Generate, distribute, or assist in creating deepfake content, including AI-synthesized audio, video, or images impersonating real individuals or intended to mislead viewers about their source or authenticity
  • Generate content involving the sexualization of minors or violations of child protection laws
  • Create malware, phishing content, or cyberattack tools
  • Infringe any third party's intellectual property or privacy rights
  • Bypass or interfere with the Service's security features
  • Resell or sublicense access to the Service without prior written approval
  • Process audio recordings without the consent of all participants
  • Upload malicious files, viruses, or harmful content
  • Violate any applicable law, regulation, or card network rules

AI-Specific Prohibitions: In addition to the above, given the AI nature of the Service, you agree not to:

  • Use the Service's inputs, outputs, model responses, or any derivative data to train, fine-tune, benchmark, or develop any AI or machine learning model that directly or indirectly competes with the Service or MeetMind's products
  • Large-scale systematic scraping or collection of model outputs for any purpose beyond your personal authorized use
  • In contexts where it may cause harm, present AI-generated content as the work of human professionals (such as licensed doctors, lawyers, or financial advisors)

10. Data, Privacy, and Security

Your use of the Service is governed by our Privacy Policy at meetmind.ai/privacy. Payment card data is processed exclusively by our PCI-DSS compliant payment processor Waffo Pancake and is not stored on our servers. Account data is retained for 90 days after cancellation, then deleted.

11. Disclaimer of Warranties

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR AI OUTPUT ACCURACY.

12. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, MEETMIND SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, DATA, OR GOODWILL, ARISING FROM YOUR USE OF THE SERVICE. OUR TOTAL LIABILITY SHALL NOT EXCEED THE AMOUNT YOU PAID US IN THE 12 MONTHS PRECEDING THE CLAIM.

13. Termination

These Terms remain in effect for as long as you use the Service. We may suspend or terminate your account if you materially breach these Terms, are suspected of fraud, or are required by law. If we terminate the Service for reasons not caused by your breach, we will prorate-refund any prepaid, unused portion. You may delete your account at any time by contacting support@meetmind.ai.

14. Governing Law and Dispute Resolution

These Terms shall be governed by the laws of the applicable jurisdiction. Before initiating formal proceedings, please contact us at legal@meetmind.ai to attempt informal resolution.

15. General Provisions

We may update these Terms at any time. Material changes will be communicated at least 14 days before they take effect via email. Continued use constitutes acceptance of the revised Terms. If any provision is found invalid, the remaining provisions remain fully effective. These Terms, together with our Privacy Policy, constitute the complete agreement between you and MeetMind.
